Position Summary
This position requires a highly motivated self-starter skilled in designing and delivering instructional, faculty, and professional development, project management, and program management.
The successful candidate must possess the ability to deliver a high level of interactive customer service, develop and maintain collaborative, professional relationships inside and outside of the School, prioritize efficiently, manage multiple projects simultaneously, and proactively solve problems.
The Assistant Director must be able to work both independently and collaboratively and possess excellent excellent communication skills. The Assistant Director must work well with students, faculty, and staff at all levels within a diverse, multicultural, and collaborative environment.
Essential Functions
- Manages day-to-day operations of the fully online degree programs by setting projects' scope and requirements, establishing goals and schedules, allocating resources, overseeing end-to-end workflow, and managing support staff.
- Develops and implements day-to-day administrative systems, policies, and procedures to ensure timely completion of administrative tasks and effective communication between faculty, staff, students, and various administrative offices across the school. Evaluate effectiveness of administrative systems by developing procedure manuals and collecting and analyzing data. Use these results to continually monitor, inform, and innovate processes and to recommend and implement necessary changes to optimize efficiency and deliver successful online programming.
- Maintains departmental archives of documents, reports, media assets, etc. and supply data to leadership as needed.
- Provides assistance to the Director with new projects, strategic administrative planning, executing initiatives, and maintaining operational resources.
- Supports the planning and execution of events, workshops, and professional development for faculty, staff, and students virtually and at any campus location.
- Gathers data, conducts research and prepares documents, reports, infographics, and slide decks for school-wide and University-wide presentations by the department and/or senior leadership.
- Communicates with the Director and senior administrative offices to resolve problems by identifying areas of concern, making recommendations, and executing solutions.
- Manages the assignment of course sections to teaching faculty. Works with Academic Chairs to ensure the effective delivery of the online program.
- Supports the Director in the administrative on-boarding of new faculty and students to the online program.
- Supports the preparation and delivery of essential online program materials for faculty and students; including schedules, calendar, handbooks, technical materials, training, university and school-wide policy and procedures.
- Manages a communication strategy for new and continuing faculty that supports academic excellence across the semester life cycle.
Instructional Design Responsibilities:
- Prepares student-facing support materials for online and hybrid instruction or lab experiences, in consultation and/or collaboration with faculty content experts.
- Assists faculty with selecting instructional strategies and articulating measurable course and lesson learning outcomes. Analyzes instructional problems and develops and implements potential solutions to these problems.
- Collaborates with faculty to produce video lessons for asynchronous course lessons.
- Reviews courses during the design, development, and delivery phases for sound pedagogical and instructional design practices. Serves on online course review teams. Develops, implements, and uses internally developed rubrics for benchmark criteria of high-quality online courses.
- Advocates for and research best practices for teaching and learning. Helps incorporate innovative methods of content delivery in the online, hybrid, web-enhanced, and face-to-face environments using appropriate technologies.
- Works with the GSE Director of Online Learning to develop a robust, ongoing program of faculty professional development and new faculty orientation.
- Analyzes and evaluates new instructional tools and technologies and recommend appropriate tools and approaches to improve course design and delivery.
- Ensures that online educational resources are accessible, updated, and functioning properly.
- Manages special projects as appropriate.
- Reviews courses for accessibility to maintain appropriate accessibility standards.

Additional Functions
- Develops and maintains relationships with academic leaders, staff, and faculty members. Coordinates work with internal units, external groups, University resources, and third-party vendors.
- Supervises office support staff, administrative consultants, and student employees to support the overall functions of the department, prioritizing work in accordance with department's critical needs and deadlines.
- Attends meetings as required. Serves as a member to a variety of committees.
- Keeps abreast of new technologies and innovative use of tools, including operational tools, project management, and online technologies.
- Supports the evaluation of vendors, archive vendor contracts, track renewals, maintain communications with representatives, and report progress to the Director.
- Performs other duties as required and assigned.
Required Qualifications
- Bachelor's degree in Instructional Design or relevant field and/or demonstrated experience in instructional design/curriculum design/video production, including working directly with faculty on the design and delivery of online and hybrid courses. Candidates with a degree or commensurate experience or both will be considered.
- Two years of administrative operations experience
- An instructional design portfolio or website.
- Technical proficiency in software applications such as Microsoft Word, Excel, Google spreadsheets, etc.
- Experience using Learning Management Systems.
- Familiarity with classroom technologies, as well as Google Suite and the Microsoft Suite of Office Applications, and other productivity and multimedia software.
- Proficiency with multimedia authoring tools.
- Able to function independently and as part of a team in a complex environment.
- Strong organizational skills, self-motivated, and detail-oriented.
- Possessing clear, effective, and diplomatic communication skills.
- Ability to demonstrate sound judgment and initiative in solving problems.
- Must be able to deal effectively with changes in priorities, unexpected events, or unanticipated demands.
- Knowledge of universal design and creation of Americans with Disabilities Act (ADA) compliant online courses.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
Preferred Qualifications
- Master's degree Instructional Design or relevant field
- Experience teaching online courses in higher education
- Ethical, sound judgment, detail-oriented, with strong organizational and time management skills
- Ability to work some evenings and weekends
- Exceptional interpersonal and relational skills, with an attitude of enthusiasm when working with students, faculty, and staff.
Minimum Starting Salary: $85,000
Maximum Starting Salary: $92,000
Note: Salary is commensurate with qualifications, experience, and skills.
